This Privacy Policy explains how Pawspitality — operated by The Royal Pet Club — collects, uses, shares and protects the personal data of our users, in compliance with the EU General Data Protection Regulation (GDPR).

1. Who we are

The Royal Pet Club ("we", "us") is the data controller responsible for the processing of personal data collected through the Pawspitality platform. You can reach our privacy desk at info@theroyalpetclub.com.

2. Data we collect

  • Account data: name, email, profile picture (when you sign in with Google).
  • Travel data: booking details, dates, number of guests and pets, pet profiles you voluntarily provide.
  • Payment data: payment is handled by Stripe; we only store the booking reference, not your card details.
  • Technical data: IP address, device type, browser, language and usage data via essential and analytical cookies.
  • Reviews and communications you submit through the platform.

3. How we use your data

  • To create your account and process your bookings.
  • To personalise recommendations (AI Concierge, favourite cities, preferred currency).
  • To send transactional emails (booking confirmations, updates).
  • To moderate reviews and ensure the safety of our community.
  • To comply with legal obligations and protect our legitimate interests.

4. Legal bases

We process your data on the following legal bases: performance of a contract (bookings), consent (marketing emails, non-essential cookies), legitimate interest (platform improvement, fraud prevention) and legal obligation (accounting, tax).

5. Who we share data with

  • Hotels you book with — limited to the information required to fulfil your reservation.
  • Payment processor (Stripe) — for secure payment handling.
  • Authentication provider (Google) — when you sign in.
  • AI providers (Anthropic Claude) — to power the Concierge; messages may be processed but are not used to train public models.
  • Cloud infrastructure providers — under strict confidentiality agreements.

6. International transfers

Some of our providers may process data outside the EU. In such cases we rely on appropriate safeguards (Standard Contractual Clauses, EU-US Data Privacy Framework).

7. Data retention

We keep account data while your account is active, and booking data for up to 7 years (legal accounting requirement). Reviews remain public until you request deletion. You can request erasure at any time.

  • Right to withdraw consent at any time.
  • Right to lodge a complaint with your national data protection authority.

We apply technical and organisational measures to protect your data: HTTPS encryption, access controls, secure session tokens and regular reviews. No system is perfectly secure; we encourage you to use a strong password and to sign out on shared devices.
